What is a tidy desk? Well, it’s a working space without clutter and chaos, but in order to keep it tidy, you must manage it. It’s not an effortless task to keep and maintain a tidy desk. Each and every day sheets of paper will be passed to you and then find their place on your desk until you have chance to attend to them. So how do you manage the mess? Here are a few tips to help you…
Manage the Paper
It’s quite a trend within office environments to go paperless. For many this is impossible, because documents need to be checked and signed and working efficiently and quickly means we need to refer to documents. Then there’s the literature that crosses our desks, which include industry publications, newspapers, competitor brochures etc. There are three tips we’d share with you for managing paper.
a) Keep a bin next to your desk
b) Have filing trays on your desk
c) Before you print anything…firstly think – Do I need to print this?
As soon as a piece of paper, document, magazine or other media hits your desk, think about your filing system and do one of three things:
1 Deal with it
2 File it
3 Bin it
Finally, have a pin board, this will also help you to manage those items you need to deal with and help you to remember ideas and important tasks.
Necessary Items Only
Using the above principles, always ensure you only have the items you need on your desk. The most minimal desk should contain:
a) Your computer / laptop
b) A telephone
c) Filing trays??
d) Pen and pad
All other items should be stored in drawers or not in your office at all. Many of us like to keep a calendar or personalise our space with family pictures; whenever possible use wall spaces for those items.
End of Day De-Clutter
As you prepare to leave the office, make your last task a quick tidy up. If it’s been a busy day and there hasn’t been time to follow the above advice, then use the time before you go home to do the necessary tidying up. This will mean you will start a new working day with a clear desk.
Letting the paperwork build up around you can only make life and work more complicated. Try to keep things orderly and as tidy as you can during busy challenging days.
